 SUMMARY

The qualifications of this position include:  high level of organization, detail oriented, able to multi-task, show a high level of professionalism and effective customer/employee service.  The duties for this Business Office/IT Assistant include daily support of 70+ CCS users through help desk management.  Must be proficient with Microsoft Win 7/+, Microsoft Office and IT products, effective member of the Business Office Team to provide customer service and provider support to a diverse population through administrative tasks.  Normally 50% of duties will be IT related and 50% of duties will be business office related.

Community Counseling Services expects employees to be welcoming to consumers, including those with co-occurring disorders, and engaging consumers at their current stage of recovery. Services provided will be in accordance with the plans and guidelines as established by Community Counseling Services and the State Division of Behavioral Health.  Portray and encourage civility to all clients, customers, employees, community partners and vendors.

 

QUALIFICATIONS

Education and Experience

  • Minimum High School diploma – Associates Degree preferred, 2 plus years administrative, secretarial or customer service experience a plus.
  • Prior experience in Healthcare IT/ HIPAA will be a valuable asset to any candidate.

Certificates, licenses, registrations

  • Valid South Dakota Driver’s license
  • Must not be excluded from participating in Medicare, Medicaid, and any Federal health care program, as provided by the OIG, USDHHS.

 

Other qualifications

  • Must be proficient with MS IT Products, MS Office
    • Must be detail oriented and highly organized

ESSENTIAL DUTIES/CRITICAL JOB ELEMENTS

Business Office Assistant

  • Transcription team – typing/keyboarding required, spelling and medical terminology a plus
  • Answer multi-line telephone system, and give information to callers, direct calls to

appropriate personnel

  • Backup in greeting clients and visitors
  • Backup clients with scheduling appointments
  • Prepare outgoing mailings as needed
  • Send/Receive medical record requests
  • As needed, taking and recording payments
  • Ordering & picking up office supplies
  • Perform opening/closing procedures and unlock/lock offices at end of shift, as necessary.
  • Assist with Clinical Summaries and other Meaningful Use information and reporting
  • Direct System backup person
  • Fax/Print distribution
  • Maintain confidentiality regarding privileged administrative and client information in a professional manner
  • Other duties as assigned

 

IT Assistant

  • Monitor IT Staff email and phone calls for IT help.
  • Monitor, schedule and prioritize help desk requests through Manage Engine Service
  • Weekly Project updates using information provided the IT team, into Manage Engine Service
  • Inventory management of IT equipment, serial numbers and CCS stickers attached, prior to roll out of new hardware.
  • Assist IT Team with selling, recycling or destruction of surplus IT inventory
  • Other Administrative Duties pertinent to IT Department with the agency
  • Maintain confidentiality regarding privileged administrative and client information in a professional manner.
